Scope of this policy

This policy explains how Zonelex, Inc., a Delaware corporation operating from Washington State (“ZoneLex,” “we,” “us”), handles information collected through zonelex.com and related pages we operate.

It covers this website only. The ZoneLex platform is a separate product with its own terms and its own data commitments; nothing about it is described here. This policy also does not cover information we collect offline or the practices of any third-party site you reach through a link here.

Information we collect

We collect what you send us through the forms on this Site:

• Contact form — your name, email address, role, and the message you write.
• Beta interest form — your name, email address, firm or organization, role, the jurisdictions you work in, and the message you write.
• Newsletter signup — your email address.

The contact and beta forms include a free-text message box. Whatever you write there is sent to us and kept with the rest of your submission, so please keep it general. Do not include confidential client information, privileged material, party or matter names, or anything you would not want outside a secured channel. If you need to discuss a specific matter, tell us that and we will arrange an appropriate way to do it.

We do not ask for your phone number, your mailing address, or any sensitive personal information, and we ask that you not volunteer any in a message field.

Some information is collected automatically when you visit, by our web host and by our analytics provider: your IP address and the approximate city or region inferred from it, your browser and operating system, your device type, the pages you view and how long you stay, the links you click, the site or search engine that referred you, and cookie identifiers assigned to your browser. We use this in aggregate to understand how the Site is used and to keep it secure and working. We do not try to identify individual visitors by name from it.

This Site has no user accounts and collects no passwords. We do not process payments here. We do not request or knowingly collect payment card or bank account details, government identification numbers, precise geolocation, biometric identifiers, or any other sensitive personal information through this Site. If sensitive information reaches us in a message field anyway, we delete it when we notice it rather than retaining it.

How we use information

• To reply to your message and follow up about it;
• To evaluate and administer interest in the beta program, including understanding which roles, organizations, and jurisdictions that interest comes from;
• To send our newsletter, if you signed up for it;
• To keep a record of our correspondence with you;
• To understand traffic to the Site and improve our content and structure;
• To keep the Site secure, prevent spam and abuse, and diagnose technical problems;
• To comply with legal obligations and enforce our Terms of Use.

We do not use automated decision-making or profiling that produces legal or similarly significant effects about you. We do not use information submitted through this Site to train machine learning models.

Newsletter and marketing communications

Every marketing email we send includes a working unsubscribe link and our postal address. You can unsubscribe at any time using that link, or by emailing us, and we will remove you promptly. If you unsubscribe from marketing email we may still reply directly to a message you sent us, or contact you about an existing business matter between us.

Cookies and analytics

A cookie is a small text file a website stores in your browser. This Site uses cookies to function correctly and to measure traffic through Google Analytics.

When you first visit the Site, a banner asks whether you accept analytics cookies. If you choose Accept, Google Analytics sets its cookies and measures your visit normally. If you choose Decline, or until you choose, Google Analytics sets no cookies and receives only anonymous, cookieless signals that cannot identify you or your device. Your choice is stored in a single first-party cookie so we do not ask again, and you can change it at any time using the Cookie Settings link in the footer of every page. Information you submit through our forms is sent to Clarify, the customer relationship management system we use to route and respond to your request. Clarify does not set cookies on this Site.

Google Analytics, provided by Google LLC, sets cookies and collects your IP address, the pages you visit, how long you stay, and the source that referred you. Google processes this on our behalf and may use it subject to its own terms; see how Google uses data from sites that use its services. You can opt out entirely by installing the Google Analytics Opt-out Browser Add-on.

Most browsers let you refuse new cookies, delete existing ones, or be alerted when one is set, usually under Settings or Privacy. Blocking cookies may affect how parts of the Site work.

We do not use advertising cookies, retargeting pixels, or social media tracking pixels on this Site, and we do not participate in cross-context behavioral advertising. There is no common standard for interpreting browser “Do Not Track” signals and we do not currently respond to them; we do honor the Global Privacy Control signal where our systems can detect it.

Third-party processors

We use a small number of vendors to run our business. They process personal information on our behalf, under contract, and only for the purposes we specify:

• Microsoft Corporation — Microsoft 365 for business email, file storage, and internal productivity tools.
• Clarify — customer relationship management and email outreach. Receives and relays submissions from the forms on this Site.
• Google LLC — Google Analytics for website traffic measurement.
• Our website hosting provider — serves the Site and maintains server logs.

Beyond these, we disclose information only when we believe in good faith it is required by law, regulation, subpoena, court order, or other legal process, or is reasonably necessary to enforce our Terms of Use, investigate suspected fraud or abuse, or protect the rights, property, or safety of ZoneLex, our visitors, or the public. If ZoneLex is involved in a financing, merger, acquisition, reorganization, or sale of assets, personal information may transfer as part of that transaction, and we will require the receiving party to honor the commitments in this policy or give notice of any material change.

We do not sell personal information, and we do not share it for targeted or cross-context behavioral advertising. We have not done so in the preceding twelve months, and we do not exchange personal information with data brokers.

Data retention

We keep personal information only as long as we have a reason to:

• Contact and beta inquiries — retained in our records for as long as needed to respond and maintain a record of our correspondence, and afterward as needed for legitimate business, tax, or legal purposes.
• Newsletter subscriptions — retained until you unsubscribe, plus a minimal record of the unsubscribe so we can continue to honor it.
• Analytics data — retained for the period configured in our Google Analytics property.
• Server logs — retained on a short rolling basis by our hosting provider for security and troubleshooting.

When we no longer need information, we delete or de-identify it.

How we protect information

We serve this Site over an encrypted HTTPS connection, limit access to personal information to people who need it, and require multi-factor authentication on the business accounts where that information is stored. Our broader approach to security is described on our Security & Data page.

No method of transmission or storage is completely secure, and we cannot guarantee absolute security. Please do not send sensitive information through a web form or by unencrypted email.

Your rights

Wherever you live, you may ask us what information we hold about you, ask us to correct it, or ask us to delete it. Email us with your request and the address you used to contact us so we can find your records. We will respond within 45 days and will tell you if we need more time. We may need to verify your identity first, and we may decline where an exception applies — for example where we must retain information for tax or legal reasons. If we decline, we will tell you why.

If you are a California resident, you may request to know the categories and specific pieces of personal information we have collected, their sources, our purposes, and the categories of third parties we share them with; to delete that information; to correct inaccuracies; to opt out of the sale or sharing of personal information, noting that we do not sell or share it; and to limit the use of sensitive personal information, noting that we do not collect it. We will not discriminate against you for exercising these rights. You may use an authorized agent, and we may ask that agent for proof of authorization. Under California Civil Code § 1798.83, California residents may ask about disclosures of personal information to third parties for direct marketing purposes; we make no such disclosures.

ZoneLex does not collect, use, or share consumer health data through this Site, and our forms do not request it. We therefore do not maintain a separate consumer health data privacy policy under Washington’s My Health My Data Act. If that changes, we will update this policy and provide the notices the law requires.

Children’s privacy

This Site is intended for adults acting in a professional capacity and is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us information, contact us and we will delete it.

Where we operate

ZoneLex is based in the United States and this Site is intended for visitors in the United States. Information we collect is stored and processed in the United States and in other countries where our service providers maintain facilities. If you visit from outside the United States, your information will be transferred to and processed in the United States, where data protection laws may differ from those where you live.

Changes to this policy

We may update this policy from time to time. When we do, we will revise the date at the top of this page. If we make a material change in how we handle personal information, we will give more prominent notice, such as a notice on the home page or an email to subscribers. Continuing to use the Site after an update takes effect means you accept it.
